Assignment Title: Planning & Initiation Document (PID) for Stevenage Funmove Centre Project Scenario: Your role You are working as a Project Manager for a project-based company called ProjectX and you are out-sourced to businesses looking for project management expertise. You have other project-based colleagues to assist you. You have been asked to work on the following project. Project background Funmove is owned by business partners Paul & Jaz Dongha. They have purchased a disused warehouse property on the edge of Stevenage, Hertfordshire. They have planning permission from Stevenage Council to convert it into an activity centre containing indoor climbing walls and a skate park. Potential customers will include the local Stevenage communities, but they hope that its reputation will encourage people to travel from a much wider area to use it. In addition, it will have some flexible spaces that could be hired out for parties, meetings and business use such as physios, other health practitioners etc. The owners have funding to pay for the project including your project team’s expertise and your project scope is to design a comprehensive project plan and fit out the venue ready for use. See timescales below. Essential project information • The building is currently an empty double storey shell (ground & first floor). • The floor space is 80 metres by 80 metres on each floor. • The building is structurally sound and has no fixtures or fittings (i.e. internal walls, shelves, cupboards). The floor and walls are bare. • There is a stable usable staircase between the two floors though there is no lift or other access to the top floor currently. • There is water, electricity and gas supply connected to the building. Planning permission has already been granted. • Create area(s) for climbing walls including bouldering (allowing for a range of abilities) • Create area for skate ramps for scooters, skateboards (allowing for a range of abilities) • Café facilities are required. • Reception area is needed. • Toilet facilities – consider accessibility, equality & diversity. • Some flexible rooms/spaces for hire • Provision of up-to-date technology e.g. super-fast fibre ethernet and technology required for bookings, as well as potential business use etc. • Check in & scanning/security technology to control access to some spaces. • To meet sustainable goals/legislation, consider energy supply (e.g. solar panels) and water use. • Small trees/plants/living wall(s) should also be considered within the building to enhance air quality & well-being. • Provision to meet Accessibility legislation. For example, a lift must be added. Additional points to note: • The project will run between 1st Jan 2024 and 31st June 2024 and therefore must be completed by 1st July 2024. This project period should also include time for checks and project sign off. • The project team will also need to secure suitable contractors and suppliers for this work. • The owners have secured funding they believe to be sufficient and as a project team you will be required to plan a likely budget for the work. However, it is NOT the responsibility of the project team to look for any further loans or investors. • External contractor day rate is £275 per contractor. • Internal project team member day rate is £150 per team member. • Project exclusions are as follows: marketing and recruitment of staff to run the centre once it is operational. Project scope extends to getting it ready for handover to an operational team. What do I need to do? In order to demonstrate your understanding of some key project management planning techniques, you are required to work as part of a team of 3 or 4 to develop the following elements for the Funmove project (above project scenario). This work will produce a team Project Initiation Document (PID). Allocation to a team will be clearly advised by the module leader/tutor near the start of the module. You should contact the module leader if you have any queries with this process (please wait until the module has started). Note - it is important that your work is tailored to the above project scenario. The Project Initiation Document (PID) – key elements: • Title Page • Contents page • Introduction • Project Objectives • Constraints of the project • Assumptions made. • Layout plan (a sketch of the 2 floors) • Brief description of venue to explain plans drawn. • Work Breakdown Structure (WBS) • Scope (Summary of the main headings of the WBS) • Precedence table (with resource column) • Network diagram including PERT. • Roles and responsibilities • RACI matrix • Budget for project • Appendix containing a teamwork log. A suggested template for this assignment has been provided in the Assignment 2 support Unit on Canvas. • You will need to plan for activities to source and obtain quotations from suppliers and contractors. Development of the space needs to include appropriate internal structural work as well as decorative work and furnishing. • You will need to provide an estimate of the budget needed to carry out the project. • Extensive testing of the venue will be needed before it is signed off and handed over to the operations team. • The scope of your project includes planning for the work above and you are NOT responsible for any marketing activities, or operational issues related to this venue (e.g. recruitment of staff to run the centre once it is open). Your team’s focus is just the project needed to convert the space ready to be operational on 1st July 2024 Your team should keep a record of team meetings (teamwork log), and this should be submitted in the Appendix. Teamwork log includes: date of the meeting, who attended and what was agreed. This could be used if there are issues in the team. No other work is required in an appendix.
